The information we collect
We collect information you give us directly, principally when you contact us or request a survey. This typically includes your name, email address, telephone number, the property address concerned, and any details you include in your message.
We do not collect special category data, and we do not knowingly collect data from children.
How and why we use it
- To respond to your enquiry and provide an indicative or fixed fee.
- To deliver our services and administer the resulting instruction.
- To meet our professional, legal and regulatory obligations (including RICS requirements).
- To keep records of our work and correspondence.
Our lawful bases for processing are your consent (when you contact us), the performance of a contract (when you instruct us), our legitimate interests in running and improving the practice, and compliance with legal obligations.
How your enquiry reaches us
The enquiry form on this site opens your own email application to send your message directly to us. It does not transmit your details to any third‑party form service. Your message is therefore handled by your email provider and ours in the ordinary way.
Cookies and third parties
This website does not set tracking or advertising cookies, and we do not use analytics that profile visitors. It loads fonts from Google Fonts, which means Google may receive your IP address in order to serve those fonts.
Sharing your data
We never sell your personal data. We may share it with trusted service providers who help us operate (for example our email and hosting providers), with professional advisers, and with regulators or authorities where we are legally required to do so. Any providers act under appropriate confidentiality and data‑processing terms.
How long we keep it
We keep personal data only as long as necessary for the purposes above. In practice we retain enquiry correspondence for up to two years, and records relating to a completed instruction for at least six years after the end of the engagement, and longer where professional indemnity, limitation or other legal requirements apply. We then securely delete or anonymise it.
Your rights
Under UK data protection law you have the right to access, correct, erase, restrict or object to our processing of your data, and to data portability. To exercise any of these, email enquiries@sofitoconsulting.com.
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk, although we would welcome the chance to resolve your concern first.

We may update this policy from time to time. The current version is always available on this page.
